Direct permissions

1. Permissions to the Organization module
These permissions give access to the following modules:

  • Member management (invitations, grant and deny permissions)
  • Custom security profile management
  • Organization settings
  • Invoice, estimate and email templates
  • Online payment gateways activation
  • Data import
  • Taxes


2. Permissions to the Maintenance module
These permissions give access to the following modules:

  • Products
  • Tasks
  • Suppliers


3. Permissions to the Projects module
These permissions give access to the following modules:

  • Projects
  1. If the access is set to "Limited", you can only access projects for which you are the manager and can only create projects you would manage.
  2. If the access is set to "Full", you can access all projects and create projects for all members.
  3. And access to the following sub modules: members, tasks, budget, attachments, and notes.
  4. Access to the other sub modules depends on the rights you have on the corresponding modules. For example, if you were granted access rights to the Time tracking module you will then have access to the Time tracking sub module from the project screen as well.
  • Clients
  1. Provides access to the following sub modules: projects, attachments and notes.
  2. Access to the other sub modules depends on the rights you have on the corresponding modules. For example, if you were granted access rights to the Invoicing module, you will then have access to the estimates, invoices, recurring invoices and overdue invoices, and payments sub modules from the client screen as well.


4. Permissions to the Teams module
These permissions give access to the following modules:

  • Teams
  1. If the access is set to "Limited", you can only access teams for which you are responsible.
  2. If the access is set to "Full", you can access all teams.


5.   Permissions to the Time tracking module
These permissions give access to the following modules:
•   Calendar view by project

  1. If the access is set to "Limited", you can only see and access your own time entries. You can only create time entries for yourself.  One exception: if you also have access to the Projects or Teams module, (see the inherited permissions section below).
  2. If the access is set to "Full", you can see and access all time entries from all members. You can create time entries for any member.

•   Timesheets (submission)

  1. In all cases, I can only see my own timesheet to submit for approval. The timesheet records my time entries, but also my expenses if I have access to the Expenses module (limited or full).



6.   Permissions to the Expenses module
These permissions give access to the following modules:
•   Expenses

  1. If the access is set to "Limited", you can only see and access your own expenses. You can only create expenses for yourself.  One exception: if you also have access to the Projects or Teams module, (see the inherited permissions section below).
  2. If the access is set to "Full", you can see and access all expenses from all members. You can create expenses for any member.

•   Payments

  1. If the access is set to "Limited", you can only see and access payments for your own expenses . You can only create payments for your own expenses.  One exception: if you also have access to the Projects or Teams module, (see the inherited permissions section below).
  2. If the access is set to "Full", you can see and access payments for all expenses. You can create payments for any expense.


7.   Permissions to the Sales module
These permissions give access to the following modules:
•   Estimates

  1. If the access is set to "Limited", you can only see and access your own estimates. You can only create estimates for yourself.  One exception: if you also have access to the Teams module, (see the inherited permissions section below).
  2. If the access is set to "Full", you can see and access all estimates. You can create estimates and assign them to any member.

•   Invoices

  1. If the access is set to "Limited", you can only see and access your own invoices. You can only create invoices for yourself.  One exception: if you also have access to the Teams module, (see the inherited permissions section below).
  2. If the access is set to "Full", you can see and access all invoices. You can create invoices and assign them to any member.

•   Recurring invoices

  1. If the access is set to "Limited", you can only see and access your own recurring invoices. You can only create recurring invoices for yourself.  One exception: if you also have access to the Teams module, (see the inherited permissions section below).
  2. If the access is set to "Full", you can see and access all recurring invoices. You can create recurring invoices and assign them to any member.

•   Overdue invoices

  1. If the access is set to "Limited", you can only see and access your own overdue invoices. One exception: if you also have access to the Teams module, (see the inherited permissions section below).
  2. If the access is set to "Full", you can see and access all overdue invoices.

•   Payments

  1. If the access is set to "Limited", you can only see and access payments for your own invoices. You can only create payments for your own invoices.  One exception: if you also have access to the Projects or Teams module, (see the inherited permissions section below).
  2. If the access is set to "Full", you can see and access payments for all invoices. You can create payments for any invoice.

•   Clients

  1. Provides access to the following sub modules: estimates, invoices, recurring invoices, overdues, payments, attachments and notes.
  2. Access to the other sub modules depends on the rights you have on the corresponding modules. For example, if you were granted access rights to the Project module, you would then have access to the Project sub modules from the client screen as well.


8.   The Approvals by project permissions
This permission gives access to the following modules:
•   Approval by project
•   Requires access to the Project module (see the inherited permissions section below).

9.   The Approvals by team permissions

This permission gives access to the following modules:

•   Approvals by team

•   Requires access to the Teams module (see the inherited permissions section below).



Inherited or cross-permissions
The Projects and Teams permissions have an impact on other modules.


1.   The Projects module permissions:

  • If the access is set to "Limited"
  • The impact on the Time tracking permission:
    You can see and access your own time entries as well as all the other time entries linked to projects you are responsible for. You can create time entries for yourself, as well as for any member having access to a project for which you are responsible for, or time entries related to a project for which you are responsible for.
  • The impact on the Expenses permission:
    You can see and access your own expenses as well as all the other expenses linked to projects you are responsible for. You can create expenses for yourself, as well as for any member having access to a project for which you are responsible for, or expenses related to a project for which you are responsible for.
  • The impact on the Sales permission:
    None.
  • The impact on the Approvals by project permission:
    You can approve timesheets (time entries and expenses) linked to projects for which you are responsible for.


  • If the access is set to "Full"
    This amounts to being responsible of all projects.
  • The impact on the Time tracking permission:
    You can see and access all time entries. You can create time entries for all members.
  • The impact on the Expenses permission:
    You can see and access all expenses linked to projects. You can create expenses for yourself, as well as for any member having access to a project, or expenses related to a project to which the member has access.
  • The impact on the Sales permission:
    None.
  • The impact on the Approvals by project permission:
    You can approve timesheets (time entries and expenses) linked to any project.

  • If the access is set to "Full"
    This amounts to being responsible for all teams.
  • The impact on the Time tracking permission:
    You can see and access all time entries from all team members. You can create time entries for any team member.
  • The impact on the Expenses permission:
    You can see and access all expenses from all team members. You can create expenses for yourself, as well as for any team member.
  • The impact on the Sales permission:
    You can see and access all invoices. You can create invoices for any team member.
  • The impact on the Approvals by team permission:
    You can approve timesheets (time entries and expenses) for any team member.
